A Property Management System (PMS) is the core operational software hotel front desks, housekeeping, and reservations teams use to manage daily guest interactions, room assignments, folios, check-ins, check-outs, and room inventory status.
How it is used
Operators rely on the PMS as the central nervous system of the property, integrating it with revenue management systems, channel managers, point-of-sale terminals, and payment gateways. Revenue managers pull historical pickup, length-of-stay data, and booking pace directly from the PMS to adjust pricing and restrictions. Housekeeping updates room statuses in real time to speed up turnover, while general managers monitor daily manager reports generated by the system to audit daily revenue and occupancy performance.
Worked example
A 150-room boutique hotel processes 45 arrivals in a afternoon. Front desk agents use the PMS to assign clean rooms, scan guest IDs, process credit card pre-authorizations, and issue digital room keys. When guests purchase dinner, the point-of-sale system queries the PMS to post a $120 room charge directly to the guest's active folio.
Common mistake
Selecting a modern PMS without open APIs severely limits future integrations with third-party distribution, revenue management, and guest messaging platforms.
